Most shops do not lose money in one dramatic moment. They lose it in small amounts, every week, in the gap between what the owner thinks is on the shelf and what is actually there. These are the five gaps we see most often, and what to do about each one.
1. Stock that only exists on paper
The most common gap is between a written count and reality. Breakages, samples, staff purchases and the occasional miscount all pull the two apart, and once they diverge every decision after that is built on a number that is wrong.
The fix: count one section properly, enter it once, then let every sale adjust it automatically instead of re-writing it by hand.
2. Reorder points guessed from memory
Most owners reorder when a shelf looks empty. That works when you are standing in front of it every day, and fails the moment you are away or busy — usually on the line that sells fastest.
The fix: set a low-stock level per product based on how many you actually sell in a week, and let the app raise its hand.
3. Prices that never moved with cost
Supplier prices creep up quietly. If your shelf price was set eight months ago, some of your best-selling lines may be earning you almost nothing, and the busiest products hide it best.
The fix: record purchase cost with every delivery so margin per product is visible, and review the top twenty sellers monthly.
4. Dead stock treated as an asset
Stock that has not moved in two months is not inventory, it is cash sitting on a shelf. It also takes up the space and attention that a faster line could use.
The fix: list anything with no sales in sixty days, discount it deliberately, and stop reordering it.
5. Two sets of numbers for one shop
Selling online and in-store from separate lists is how customers end up ordering something you sold this morning. The apology costs more than the sale did.
The fix: one catalogue behind both, so the counter and the store link always show the same count.
Where to start this week
Pick one shelf. Count it properly, put those numbers into the app, and let a week of sales run against them. The difference between your count and your app at the end of that week is the number worth acting on — everything else can wait.
